MINUTES of the COTOS Board Meeting, July 10, 2000

COTOS Board of Directors meeting convened at 7:00 p.m. with all members present except Herman Thompson, excused due to surgery. Minutes of the June 5 meeting were reviewed. Tom moved and John Drake seconded to accept the Minutes as corrected. Motion passed.

Mark outlined the donations received for the heating and air conditioning project -- $6,000, $1,000, $100, and another $3,000 from a foundation in Urbana for a total of $10,100 of the $10,440 needed. Tom reported for the Finance Committee on the list of companies and foundations to be contacted and the brochure being drafted to assist in the money raising. Tom will print the brochure on his own computer in color and there will be no cost involved. The Committee will contact the CEO's of various companies and foundations by an introductory letter followed by a personal visit. Brochures will be ready in another month. Member Stan Krider is compiling the list of contacts to be made.

John Adams reported on his tour of the Springfield Museum, the site of the Conn 650 organ we're placing there. Keith Britton is our liaison with the Museum staff, who informed both he and President Adams that

Springfield is remodeling the building at a possible cost of $2 million. Construction is in progress and they have a huge warehouse of artifacts to house in it. There is a Silent Movie area planned where the Conn 650 will be situated. January, 2001 is the planned opening date of the Museum, with an Annex to be ready at the same time. The Conn 650 will go into the local WEEC radio station until the Museum is ready to receive it.

There was no Treasurer's report, but Mark cited $110 to ATOS for our ad. Mark said he received a letter from a Bellefontaine group that has been given a theatre organ to restore. There are 2 chambers in the Theatre but no organ. Tom said Ms Sally Dickey is fund-raising Committee Chairperson. They have been offered a 1928 Robert Morton organ now in a theatre in Pittsburgh. Tom read list of parts and components of the organ. Mr. and Mrs. Rimmel of Worthington are donating it. They have been given a Church organ, pipes and chests which are now stored in Athens, but the console is in Worthington. They would like to see electronics added and a MIDI system. They invite us to look at the Organ and visit their theatre. They have already started their fund drive toward its restoration. We would be advisors on the project. Tom has all the specifications of the Organ.

Discussion of Favret coordination with Worthington High School on installation of our heating and air conditioning equipment. Also discussed was Clark Wilson's method of scheduling of the work. He recommends we go ahead with the relays first and steps were outlined in order of their priority. Mark said we must start at the Console, work back through and eliminate what we don't need. Tonal finishing is a high priority, he said. Discussion at length on the priorities in scheduling the work Mark moved that we get proposals on MIDIs, pursue Z-tronics and get information and pricing of the Allen Miller MIDI system. Tom seconded the motion and it passed.

Discussion of Worthington Market Day on September 9. Application was processed and money paid and we are waiting for confirmation and approval. Discussion of tent with flaps needed to protect the Conn organ in case of rain, wherein we would show Silent Movies every hour. President Adams will contact Martha Sprout to see if she would be able to take charge.

Discussion of a Membership Drive. President Adams suggested we solicit people who come to our concerts, possibly giving them a 1-year membership in COTOS or their first year's dues cut in half and they would be eligible to come to all the meetings. Some suggested asking dues of $5.00 for the first year, but full dues to national ATOS. Tom moved to write a letter from the Board to all those who are no longer active members to invite them back; John Burns to compose the letter, with Board approval at the next Board meeting. Mark seconded the motion and motion carried.

Vice President John Burns reported on proposed Web Site. He planned to use photographs and persons playing the organs -- ours and others around Columbus area. John distributed samples of pages of the Web Site. Also discussed was Chapter Notes from COTOS to be submitted to national ATOS magazine.

Under future business, there may be no concert this fall. We will continue to make our Organ user-friendly. Mark suggested we obtain Walt Strony's registration manual, which would be added to our COTOS Library. John Burns thought he might have an extra copy which he would donate to COTOS. It was suggested that the Oct. COTOS meeting be held the 13th at Williams Music Store beginning at 5:30 p.m. with a workshop and concert. The first organ concert at the Ohio Theatre in 8 years will be on Sunday, October 29, with Simon Gledhill playing.

Mark was assigned the updating of the following sections of our Chapter by-laws to conform to our current operation. Articles V, VII and VIII to be updated. These would essentially call for nominations of officers in December, installation in January and the induction of new members at the January meeting also.

A nominations committee will be appointed at the August 27 meeting. Next Board meeting will be Monday, August 14, 2000, at Tom's house again. Meeting adjourned at 9:40 p.m.
