Board of Directors Meeting Minutes, June 5, 2000

     Board met at Worthington High School at 7 p.m. Monday, June 5 with all members present.

     President Adams opened discussion of the donated Conn organ in Tom Hamilton's garage. Mark Williams and Keith Britton said a museum in Springfield could use it. John Adams said it opens January 1st, 200l. In the meantime he would check with a local radio station WEEC in Springfield and see if they could use it somehow. John said the projected museum is quite definite; a 3-storey old city building which some interested society has bought. Tom said the organ needs work; nothing plays above middle C. Tom said we could put the organ in the radio station; they would have to pay to have it moved over there and they would have the restoration work done. John Adams will negotiate with the museum and radio station. John moved that we retain the Conn as the property of COTOS for the time being and until we find a good place for it. Mark seconded the motion and it was passed unanimously.

     Tom Hamilton reported on Colorado Organ Workshop where Lew Williams was fantastic. He recommended that he play at one of our COTOS concerts. 98-yr-old Rosa Rio also played. Bob Ralston sent him a note that he is available for concerts.

     Mark commented he got a letter from a lady in Lakeview, Ohio, about installing and maintaining an organ. It was the consensus of the Board that Mark respond to the letter that we are interested.

     Tom Hamilton reported that on October 13 Tom and Sandy Hlasten will sponsor a concert at Williams Music Company with Tom Hazelton starting with a workshop at 5:30 p.m. with concert at 7 p.m. The location is 278l Olentangy River Road, just south of West North Broadway.

     Tom discussed the cataloging and indexing of the Jack Montag music collection just about finished. Tom noted that we must get our request in for an ATOS grant. We were too late to get it in last year, but we must make the request before January, 200l.

     John Adams said we might also consider having a web site; out of the 68 Organ chapters, 23 have web sites. John Burns discussed publicizing the history of COTOS and our organ, the Ohio Theatre organ and other local theatre organs, and a possible link with Columbus AGO chapter.

     Mark encouraged comments on our next Concert, which will have to be after the summer installation of the heating and air conditioning units for the pipe chambers, and whether we should send out flyers or postcards. If we send 5,000 flyers it would be $181.21 and to send 3000 post cards and 2000 flyers, it would be $183.00.

     John Drake reminded us that September 9, 2000, is Worthington Market Day. We can have the same spot for our booth on the Green.

     Mark discussed the consultant's evaluation and estimate for total of $385.00 covering time plus phone calls and expenses in writing the report. Motion made by Herman Thompson and seconded by Tom Hamilton that we pay this additional money. Motion carried.

     Mark reported the yearly filing with the Attorney General's Office was filed 12 May,2000 for the increase/decrease in the assets of the COTOS Chapter. Mark led lengthy discussion of the consultant's evaluation and estimation report. Mark asked how much should we allow if we have to hire out some of this work. Lengthy discussion continued on all the technical aspects of the report. Mark will send Allen Miller a letter to tell him what we are doing.

     Committee to work on raising finances to complete Organ restoration is comprised of Tom Hamilton, Stan Krider and Keith Britton. We have donations for the air conditioning. We can pay for the relays, keyboards, combination action expenses which would comprise one-seventh of the total program of restoration.

     It was announced that it would cost $110.00 a year for our ad in the ATOS Magazine. It was the consensus that we tell Stan Krider to renew the ATOS ad.

     The next Board meeting will be at 7:00 p.m. on July 10, 2000, at the home of Tom Hamilton, 1998 Collingswood Road, Columbus.
